Promotions Contractor

The Promotions Contractor is an independent contractor who is responsible for managing and producing promotional collateral for Visit California’s domestic and international markets. Because this work is outside the usual course of Visit California’s business, the Contractor will hold a primary role in establishing and maintaining strong relationships with key vendors and internal departments to anticipate, develop and produce collateral materials.


Sourcing and Development
  • Research and solicit new and appealing promotional items that would be of interest to Visit California's staff, partners and industry members as well as special events.
  • Work with Visit California’s Media Relations Coordinator, Event Managers, Travel Trade Managers and/or Coordinators, and International Directors and/or International Marketing Managers directly for specific event-related promotional and collateral item needs.
  • Develop an international promotional materials kit in partnership with the Creative Development Manager that aligns with all other promotional materials to provide a cohesive look globally, updated annually.
  • Manage budget in partnership with the Creative Development Manager and by working with vendors to secure competitive pricing on items such as product selection, purchase options, shipping and set-up fees.
  • Manage Visit California’s in-stock inventory of promotional items/collateral, and re-order when and where necessary.
  • Manage relationships with key partners and vendors for opportunities for specialized products.
  • Track and review invoices submitted by vendors involved in the creation of promotional items/collateral. The Contractor is responsible for ensuring invoices are accurate and routed correctly by adhering to accounting and procurement policies.
  • Anticipate scheduled needs of promotional items/collateral.
  • Manage the storefront system for promotional/collateral items, including but not limited to inventory management, order processing and fulfillment, and purchases of promotional items/collateral process per Visit California specifications.
  • Ensure Visit California brand and quality standards of excellence are being followed in the creation and production of all promotional items.
  • Adhere to the guidelines of the Visit California Contract Manual when negotiating contracts in conjunction with all projects. This includes, but is not limited to, preparing Requests for Proposals, obtaining a minimum of three bids, and reviewing bids as required.
  • Daily tasks to meet standards and expectations of promotional products: receiving, shipping, ordering via online system, quality control, debit/credit procedures, banner check out and in process, maintaining promotional room, shipping off site to fulfillment, courier service, dry cleaning, packaging and preparation of gifts, etc.

  • Bachelor’s degree or higher level of education in marketing, advertising, design or equivalent experience is preferred
  • Understanding and experience in promotional collateral procurement and fulfillment
  • Excellent organizational and presentation skills
  • Ability to work in a dynamic, fast-paced and deadline-oriented environment
  • Experience with sourcing and pricing materials with multiple vendors that add value to the organization
  • Ability to manage multiple demands of varying challenges and meet multiple deadlines at one time
  • Excellent written and verbal communication skills
  • Ability to work free from control and direction in connection with the performing the contract’s requirements


Project Budget, Fees and/or Expenses:
The total contractor budget shall not exceed $70,000 annually. Separate budget for promotional items.

Any qualified independent contractor seeking to obtain this contract must represent that they are generally engaged by other companies as an independent contractor to perform the types of services described herein. Qualified independent contractors must represent that, although they work for other entities, they will be able to successfully meet deadlines, and that they will maintain Visit California’s confidential information in the performance of services as described herein.
