Brand Budget Manager

JOB DESCRIPTION

Position Summary:

The function of the Brand Budget Manager is to generate, interpret, and utilize financial budget reports necessary for monitoring and managing financial transactions of the Brand team, and various projects or activities. This position also supports the management team in a variety of financial and operational decisions.

The Brand Budget Manager provides support to Visit California staff and designated departmental budget leads, through data analysis to facilitate informed business decision-making. Tasks will include analysis of current processes, contract and spend management, budget to actual performance comparisons, comparisons against prior year data, liaison between Visit California and its primary creative and media agencies, budget encumbrances, reconciliations and budget forecasts.

AREAS OF RESPONSIBILITY

Key Duties & Responsibilities:

20%  Budgeting & Reporting
  • Ability to generate, understand and utilize financial budget reports necessary for monitoring and managing financial transactions of brand budget, projects or activities.
  • Perform monthly review of budget-to-actual data and support Brand team with evaluating variances, tracking, and re-forecasting budgets and accruing expenses as needed.
  • Follow Visit California procedures and generally accepted accounting principles in approving forms, records, or documents which are used to produce financial transactions.
  • Proactively identify and advise on potential budgetary impacts.
  • Report favorable and unfavorable variances from budgeted financial expectations to program level budget liaisons and keep the Director of Finance/Controller, Budget Manager, and Brand Marketing Manager apprised.
  • Provide processes, solutions and tools to improve efficiency and accuracy in balancing the annual brand budget and financial operations.
  • Perform special projects and other duties as assigned by management.

50% Contract and Spend Management

  • Establish and maintain written policies and procedures of the contract management process, as it pertains to the Brand team.
  • Support and maintain Brand contracts and addenda including all related work orders, media authorizations, and invoices.
  • Monitor expense charges for appropriate classification and inclusion in correct fiscal year and ensure that laws, regulations, and Visit California policies are followed, especially for any applicable sponsor terms, conditions, or restrictions.

20% Management

  • Establish and maintain written policies and procedures of the Brand budgeting process.
  • Manage outsourced functions.
  • Manage financial and operational relationship with primary creative and media agencies, in conjunction with Brand Marketing Manager, including process implementation, communications and meetings.
  • Assist with the process for evaluating (for consistency with budget) procurement and recruiting requests.
  • Provide accurate, timely and complete information to the Accounting and Brand teams.

10% Other duties as assigned

QUALIFICATIONS / EXPERIENCE

Essential Qualifications:

To perform this job successfully, an individual must be able to perform each key duty satisfactorily and with a high-level of customer service with staff, executives and agencies, as well as exhibit the following qualifications:

  • The individual must respect and protect the confidentiality of information acquired in the course of budget oversight responsibilities.
  • The individual must act ethically, honestly, and responsibly in managing financial resources and information.
  • Bachelor's degree in finance or accounting is required.
  • Minimum of five years’ experience with budget formulation, tracking, and analysis.
  • Excellent communication skills are required for presenting concepts in a clear, concise and well-organized manner, particularly in presenting the results of analyses to management.
  • Outstanding knowledge of electronic spreadsheets and analysis of data is required.
  • The individual will be required to take an MS Excel assessment.
  • Experience working independently, but within a team environment, is essential.
  • Experience in marketing and/or advertising preferred but not required.
