JOB DESCRIPTION

Position Summary:

Take direction from and be responsible for providing administrative assistance to the Vice President of Communications as well as the Communications Department staff, including: calendar scheduling & meeting management, drafting correspondence, assisting with media inquiries & media events coordination, assisting with logistical aspects of departmental FAMS (familiarization tours), updating the contact management system, assisting with departmental budget tracking & contract routing, and other general office support functions as needed.

AREAS OF RESPONSIBILITY


Key Duties & Responsibilities:

  • 60% — Provide administrative assistance including managing schedules, making travel arrangements, processing expense reports, opening mail and writing correspondence for the Vice President of Communications.
  • 20% — Provide administrative assistance to the Communications Department, including setting up and managing departmental meetings and conference calls, assisting with tracking of departmental budget, requisitions and contracts, answering inbound calls, making copies and shipping supplies.
  • 10% — Keep contact database current using CRM software.
  • 10% — Other projects and administrative functions as assigned.
QUALIFICATIONS / EXPERIENCE

Essential Qualifications:

To perform this job successfully, an individual must be able to perform each key duty satisfactorily:

  • Previous experience with office administration and strong technical skills.
  • Competency in a variety of Microsoft Office products, including Word, Excel, Outlook and PowerPoint.
  • Previous experience and competency with contact management systems a plus.
  • Strong writing and interpersonal skills.
  • A minimum typing speed of 50 words per minute.
  • Proficiency in conducting internet research and ability to solve problems with minimum supervision.
  • Previous professional experience and degree in marketing, communications, public relations, hospitality/tourism or English a plus.
