JOB DESCRIPTION

Position Summary:

Supports the Director of Executive Operations on behalf of the President & Chief Executive Officer with daily and special projects, including: providing administrative support; coordinating travel logistics; overseeing department filing system; managing department contact management system (Salesforce); and other general office support functions.  Secondarily, assists in special projects for key executive staff and serves as administrative support where needed.

AREAS OF RESPONSIBILITY


Key Duties & Responsibilities:

  • 70% Provide administrative support to the Director of Executive Operations on behalf of the President & Chief Executive Officer - assist with maintaining Outlook calendar; set up meetings; process mail and email; answer incoming calls; make travel arrangements; process travel claims; reconcile credit card statements.  
  • 20% Coordinate ad-hoc events, quarterly All Staff meetings and special All Staff events - scheduling; logistics; meeting content; set-up and break down; budget management.    
  • 10% Other duties as assigned by supervisor or executive staff. 
  
QUALIFICATIONS / EXPERIENCE

Essential Qualifications:

To perform this job successfully, an individual must have the following qualifications and be able to perform each key duty satisfactorily:

  • Previous experience with office administration and strong technical skills.
  • Competency in a variety of Microsoft Office products, including Word, Excel, Outlook, and PowerPoint.
  • Previous experience and competency with contract management systems a plus.
  • Strong written and interpersonal skills.
  • A minimum typing speed of 50 words per minute.
  • Proficiency in conducting internet research and ability to solve problems with minimum supervision. 
  • Previous professional experience and a degree in Marketing, Communications, Public Relations, Hospitality/Tourism or English a plus.
