International Marketing Assistant

Position Summary:

Supports the International Marketing Director and Managers that are responsible for promoting California as the premier travel destination to consumers, travel trade, and media globally.  Responsibilities include assistance with budget tracking and reconciliations, contract request and compliance needs, scheduling, drafting correspondences, and preparing meeting materials.  Works closely with administrative assistant to the Associate Vice President of Global Marketing for overall departmental needs. 


Key Duties & Responsibilities:

  • 40% Assist the International Marketing Director with budget and operational duties such as monthly budget reconciliation; quarterly budget projections; invoices processing and purchase authorization paperwork and expense logging.  Assist in processing contracts.  Assist with travel reconciliations  
  • 30% Provide administrative support to International Marketing Director and team such as conference call scheduling; webinars and meetings preparation and set-up including compiling agendas, materials/printouts, and other content as well as organizing meeting logistics and communicating follow up action items.  Assist with Salesforce updates and other database needs.  Provide general support to international team and wider marketing team when needed.   
  • 15% Update international and trade programs and events information on Visit California's industry site (market updates, staffing changes, and co-operative opportunities.) Create and update sales mission, trade show and coop opportunities on Sitecore platform.  Generate marketing reports as needed.  Maintain international partner contact information and industry interested party list in Salesforce database.  
  • 15% Assist with marketing programs that may include familiarization trips, preparation for sales mission and trade shows, industry events and other marketing platforms.  

Essential Qualifications:

To perform this job successfully, an individual must have the following qualifications and be able to perform each key duty satisfactorily:

  • Previous experience with budget management programs including Excel and strong mathematical skills, a plus.
  • Competency in a variety of Microsoft Office projects, including Work, Excel, Outlook, PowerPoint, Salesforce and webinars.
  • Strong writing and interpersonal skills and the ability to manage multiple deadlines within a fast-paced organization.  
  • Ability to use WebEx, Skype, Zoom and other video online meeting platforms to schedule conference calls and troubleshoot if needed. 
  • Ability to function independently and be detail oriented.
