JOB DESCRIPTION

Position Summary

This position supports the Associate Vice President of External Affairs & Media Relations and the Director of External Affairs, along with the wider team, including public relations, public affairs and events. This role serves as an integral member of the team and will support projects and programs that encompass a wide spectrum across communications at Visit California, a best-in-class nonprofit destination marketing organization.

The successful candidate will be a proactive, independent leader, comfortable working across departmental lines to drive collaboration and ensure efficiencies. Self-motivated problem solvers with excellent communication skills are encouraged to apply.

The Communications Assistant will support the team with meeting scheduling and meeting management, assisting with media inquiries and supporting journalist travel logistics, assisting with updates to the customer relationship management system, assisting with team financial expenditures, budget tracking and contract routing, and other general office support functions as needed.

This position will work closely with the Visit California administration team.

AREAS OF RESPONSIBILITY

Key Duties & Responsibilities:

  • 60% Support the External Affairs & Media Relations teams with coordination and execution of ongoing programs, including public relations, public affairs and events priorities.
  • 20% Provide administrative assistance to the team, including scheduling, preparing for and setting up meetings; assisting with tracking budgets, requisitions and contracts; travel logistics and expenses.
  • 10% Assist with reporting administration, including maintaining records in Salesforce and pulling reports.
  • 10% Other duties and special projects as assigned by supervisor.

QUALIFICATIONS / EXPERIENCE

Essential Qualifications:

To perform this job successfully, an individual must be able to perform each key duty satisfactorily, as well as exhibit the following qualifications:

  • Minimum two years of previous work experience preferred.
  • Strong writing, organizational and interpersonal skills.
  • Competency in a variety of Microsoft Office products, including Word, Excel, Outlook and PowerPoint, as well as familiarity with scheduling Zoom meetings and webinars.
  • Proficiency in conducting internet research and ability to solve problems with minimum supervision.
  • Ability to handle multiple tasks, prioritize and meet deadlines.
  • Previous experience and competency with CRM systems such as Salesforce a plus.
  • Previous professional experience and degree in marketing, communications, public relations, hospitality/tourism or English a plus.
  • Previous experience booking travel a plus.
