JOB DESCRIPTION

Position Summary:

As primary point of contact for visitors and callers to Visit California, you will greet visitors to Visit California’s office, respond to visitors’ and consumers’ requests for information, answer phones, provide administrative support to all Visit California departments as needed, and perform other general office support functions.

AREAS OF RESPONSIBILITY

Key Duties & Responsibilities:

  • 50% Phones and reception: Greet visitors to Visit California’s office, answer and route incoming calls to appropriate Visit California staff, respond to visitors and consumer requests for information and refer them to an appropriate source/agency, look up information on the internet, maintain a file of resource information, keep a record of interesting/offbeat consumer queries, keep a record of international traveler questions/requests, keep a record of consumer feedback regarding Visit California print, digital, or video campaigns, and maintain a neat workspace.
  • 30% administrative support: Under the direction and supervision of the human resources manager, provide administrative assistance to all Visit California departments, including but not limited to: distributing incoming and outgoing mail/faxes, distributing package deliveries, making copies, responding in writing to outside requests for materials and information, and providing backup for administration team. This position also maintains cleanliness of the office reception area and a stock Visit California publications for visitors.
  • 20% Other duties as assigned by supervisor or other staff.
QUALIFICATIONS / EXPERIENCE

Essential Qualifications: 

To perform this job successfully, an individual must be able to perform each key duty satisfactorily, as well as exhibit the following qualifications:

  • Previous experience with office administration and strong technical skills.

 

  • Previous experience with MacOS and iOS devices.

 

  • Competency in a variety of Microsoft Office products, including Word, Excel, Outlook and PowerPoint.

 

  • Strong writing and interpersonal skills and the ability to multitask and handle a fast-paced organization.

 

  • Team player; organized and detail oriented.

 

  • Proficiency in conducting internet research and ability to solve problems with minimum supervision.

 

  • Previous experience and competency with Salesforce or other customer relationship management (CRM) systems a plus.

 

  • Previous experience in marketing, public relations or communications a plus.
