JOB DESCRIPTION

Position Summary:

The responsibilities of the Finance Admin include invoice processing, purchasing, assist staff with purchase authorizations and procurement questions, credit card transaction entry and reconciliation, new vendor setup, and various monthly close tasks. You will also be responsible for having an in-depth knowledge of the policies and procedures to help the rest of the organization maintain compliance. This highly involved position works to provide foundational support to company budgets, financial statements, and clean audits. 

AREAS OF RESPONSIBILITY


Key Duties & Responsibilities:

  • 50%  Manage the accounts payable inbox which includes, routing incoming invoices, set up new vendors, and coordinate communication between staff and vendors where applicable to create a smooth procure-to-pay process.
  • 30% Assist staff with questions regarding routing invoices, purchase authorizations, purchases, procure to pay software, and coordinate procure to pay efforts with the other finance staff. .   
  • 10% Reviewing purchase authorizations prior to making purchases, purchasing authorized supplies and services, maintaining organized records. 
  • 10% Other duties as assigned by supervisor. 
 
QUALIFICATIONS / EXPERIENCE

Essential Qualifications:

To perform this job successfully, an individual must have the following qualifications.

  • Education equivalent to a bachelor’s degree or higher in accounting, business administration, finance or related field.3-5 years of experience with accounts payable and payment processing.
  • 3-5 years of experience with accounts payable and payment processing.
  • Experience with and working knowledge of contract administration. Knowledge of and experience with modern contract maintenance systems such as DocuSign a plus.
  • Experience with and working knowledge of modern financial accounting software systems. Knowledge of and experience with FinancialForce (ERP) and Chrome River (Procure to Pay) a plus.
  • Proficient in a variety of Microsoft Office products, including Excel, Outlook, Word and PowerPoint.
  • Strong writing and interpersonal skills, and a minimum typing speed of 40 words per minute.
  • Strong grammar and written communications skills.
  • Ability to manage multiple priorities with accurate results and timely completion.
  • Ability to solve problems with a minimum of supervision.
