Overview

Position summary

Supporting Visit California’s public relations strategy, coordinate a variety of global media relations efforts for Visit California, content development for Visit California’s Media Center, and working closely with Destination Marketing Organization (DMO) partners, public relations agencies, members of the media, Visit California contractors and other departments.

 The Media Relations Coordinator will take direction from Visit California’s Director of Public Relations to support Visit California’s extensive media relations campaign, with a focus on multi-market consumer media initiatives, content development and reporting.

Areas of responsibility

30% Content Program Management

Support content development for Public Relations needs, including updating the global Media Center, and assisting with content development strategy, including developing annual Global Editorial Calendar, and the ongoing creation of new content pieces, including story ideas/pitches, press releases, product updates and articles. 

Manage website content and assist international staff with maintenance of localized content.

  • Work with PR/PA team and international offices to create global editorial calendar
  • Manage website content across all sites related to PR/Public Affairs programming
  • Assist with ongoing communication to partners requesting product updates and other content used for media relations
  • Reply to media requests for content, and assist Creative Services with ongoing asset procurement and maintenance efforts:

40% Global Media Relations Project Support

Work with Public Relations team to execute domestic and global (i.e. multi-market) programs from start to finish. Collaborate with agencies and partners to coordinate media visits, including group press trips, influencer campaigns, in-market support for international offices as needed, and post-project tracking and reporting. 

  • Immersed in day-to-day PR programming of global projects and international offices
  • Press trip itinerary support as needed, partner communication, media logistics/travel support
  • Track and share clips and coverage from press trips/projects
  • Track projects using reporting tools, including SalesForce, Airtable and Monday.com
  • Provide additional in-market support to international offices, as needed
  • Train and liaise with international staff for Media Center and reporting tools
  • Order and manage inventory of promo items and media gifts
  • Distribute Press Trip Requests and leads from the Media Center
  • Assist public relations and public affairs team with research related to issues being tracked and messaged as they affect the tourism industry
  • Assist with execution of the Crisis Communication Plan, as needed.

20% Program Reporting

Assist with aggregating information from global agencies for board reports, annual reports and other ad hoc reporting needs.

  • Tell a cohesive story about the global program of PR and Public Affairs work by compiling metrics and assets for use in Visit California reports
  • Ensure ongoing maintenance and integrity of data collected in reporting tools – PR tools and SalesForce – including metrics provided by international and HQ staff
  • Provide reporting per initiative back to participating industry partners on an ongoing basis
  • Monitor document uploading to SharePoint/archives to ensure program briefs, summaries and other materials are submitted and stored appropriately.

Qualifications and experience

  • Bachelor’s degree in communications, public relations, journalism, marketing or a related field.
  • 3+ years of professional, post-collegiate experience in public relations, communications, marketing or a related field, agency or in-house.
  • Strong writing, editing and storytelling skills; ability to craft press releases, media pitches and editorial content.
  • Strong organizational and project management skills; proven ability to juggle multiple assignments in a fast-paced environment.
  • Effective communicator with strong interpersonal skills to liaise confidently with journalists, agencies, partners and colleagues.
  • Familiarity with media monitoring/PR tools and project management/reporting platforms (i.e. Salesforce, Airtable, Monday.com).
  • Proficiency with Microsoft Office Suite, SharePoint and cloud-based file-sharing systems. Preferred Qualifications (these are a plus!):
  • Experience maintaining digital content platforms or websites (such as a Media Center or newsroom).
  • Demonstrated experience supporting multi-market PR campaigns and tracking results.
  • Experience working with or for a destination marketing organization (DMO), tourism board, or within the travel, hospitality or lifestyle sectors.
  • Established relationships with travel, lifestyle and consumer media, or experience working with influencers/content creators.
  • Experience supporting press trips, FAMs or media hosting programs, including itinerary development and on-the-ground execution.
