Location: Hybrid (2-3 days per week on site, 2-3 days per week remote)

The Brand Advertising Coordinator provides organizational and program support for Visit California’s global brand advertising efforts. This role supports cross-functional coordination across brand, creative, media, research, and agency partners—helping ensure integrated campaign execution, streamlined workflows, and consistent brand representation across internal and external touchpoints.

The position assists with creative review, campaign tracking, industry communications, meeting cadence, and budget workflows while contributing to ongoing process improvements and team efficiencies.

Areas of responsibility

30% - Provide content support for the Brand team, including upkeep of strategic narrative, creative reviews, slideware, and reporting.

20% - Coordinate cadence of all paid media priorities and touch points, including strategic planning support, ongoing creative approvals, and regularly liaising with staff to ensure efficiencies with calendaring and organizational priorities.

20% - Work with Brand Media & Creative Managers, along with Owned, Earned, Trade, International and Research teams, to monitor campaign performance and joint KPIs, ensuring consistent optimization and integration across channels.

20% - Support the Brand department with budget planning and management, contracts and authorizations.

10% - Other duties and special projects as assigned by supervisor.

Creative & Campaign Support

  • Support the execution of integrated brand campaigns by assisting in the review and coordination of creative assets across paid and partner placements.
  • Collaborate with agency and internal teams to help ensure assets align with brand guidelines, messaging priorities, visual identity, and approved usage requirements.
  • Assist in managing creative approval workflows, timelines, and feedback consolidation across cross-functional stakeholders.
  • Help maintain quality control by flagging inconsistencies in brand voice, visual application, disclaimers, or partner requirements.
  • Track and organize final creative deliverables to ensure accurate management, accessibility, and archiving.
  • Document campaign learnings, best practices, and optimization insights to support future planning discussions.
  • Coordinate agency planning touch points, including briefings, creative reviews, approvals, and campaign debriefs.

Industry & Executive Communications

  • Coordinate the development of slideware and supporting materials for Board Meetings, Brand & Content Committee, Task Forces, Industry Meetings, and other leadership engagements, ensuring messaging accuracy and consistency.
  • Support Brand team deliverables for Visit California’s annual Outlook Forum industry conference, including timelines, internal coordination, agency collaboration, and material development.
  • Coordinate Calls for Content in partnership with internal Communications team, working with agency partners to gather, organize, and validate required materials, such as performance metrics, creative examples, and campaign highlights for internal and external reporting.
  • Assist in preparation of industry-facing materials, including the Board Book, Year in Review, and other executive documentation.
  • Support industry communications by coordinating outreach to industry partners related to production logistics, scheduling, approvals, and alignment.

Budget & Workflow Support

  • Support Brand team invoicing and budget tracking workflows, including reviewing invoices for accuracy, uploading documentation into internal systems, routing for approval, maintaining budget trackers, reconciling, and partnering with Finance to ensure timely processing.

Systems & Workflow Management

  • Utilize Salesforce to document brand industry engagement, maintain committee tracking, and support accurate contact, asset and campaign records.
  • Utilize Monday.com to manage team workflows, ensuring visibility into timelines, deliverables, approvals, and cross-functional dependencies.

Qualifications and experience

To perform this job successfully, an individual must be able to perform each key duty satisfactorily, as well as exhibit the following qualifications:

Professional & Creative Competencies

  • 2+ years of professional experience in marketing, advertising, tourism, or related field required.
  • Experience supporting creative campaign execution, asset review, or agency collaboration preferred.
  • Strong attention to detail and ability to identify inconsistencies in brand voice, visual identity, and messaging.
  • Ability to manage multiple timelines, feedback loops, and cross-functional priorities in a fast-paced environment.
  • Strong written and verbal communication skills, with the ability to synthesize information clearly and professionally.

Organizational & Technical Skills

  • Highly organized with strong project coordination and workflow management skills.
  • Proficiency in Microsoft Office products (Word, Excel, PowerPoint) and Outlook.
  • Experience using project management or workflow tools (e.g., Monday.com) preferred.
  • Experience with Salesforce or other CRM systems preferred.

Education

  • Education equivalent to a bachelor’s degree or higher in marketing, communications, tourism, or related field preferred.

Salary and compensation

Salary Range: $75,500 - $120,000

The range displayed reflects the range the organization reasonably expects to pay for the position. The actual base salary is subject to variation due to the role, level, relevant education, training, or experience, among other factors.
